The whole meeting process starts with the work of a secretary; therefore, this making an organization having an organized infrastructure of programs. There are steps in which a secretary has to follow in the planning of a meeting.
Preparation. This is the most important of all because it carries the whole foundations of the meeting. Under development, the secretary needs to select the venue for the conference, pick the drinks that are suitable for the members.
Taking care of the logistics. Here one has to focus on the area to be having enough light for the room to be visible for writing and taking notes. Also, the invitation has been sent in advance to the participates of the meeting including the date, time and venue. The sitting arrangement is also important for the meeting.
Development of the agenda. These are mainly handled with the chairman of the meeting to give every topic enough time (Schriel N.p).
Discussion with participates. Before the meeting, the secretary needs to talk to all members of the objectives of the meeting. This can be done by setting up a conference call with all of them to save time.
Time allocation. All participants have to be given enough time to be able to explain their objectives and ideas. People in the meeting should be advised to follow their time for all purposes to be fulfilled.
